Below we present information regarding the terms of use of the Website, as well as what data is collected by the Website and on what basis it is processed. In addition, we provide information regarding the rules for the processing of personal data by the Website owner, including for visitors who use our services, have subscribed to our commercial information, or have contacted us via the contact form. Participants of trips organized by Haxel Events & Incentive Spółka z o.o. will also receive additional information regarding the processing of their personal data if such need arises due to the specifics of a particular trip.

Personal Data

1. Haxel Events & Incentive Sp. z o.o., headquartered in Warsaw at ul. Marysińska 18, 04–617 Warsaw, contactable regarding personal data processing at the email address biuro@haxel.pl or via the website www.haxel.pl, as the Data Controller within the meaning of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter the “Regulation”), processes personal data provided by Clients, including natural persons acting on behalf of Clients, who use the Administrator’s services or whose data is submitted via contact forms placed on the Website.

2. Purposes of processing. Personal data is processed for the purpose of:
a) fulfilling the contract or taking steps at the Client’s request prior to entering into a contract – Article 6(1)(b) of the Regulation;
b) examining customer satisfaction levels and determining the quality and satisfaction of services provided, constituting the legitimate interest of the Administrator – Article 6(1)(f) of the Regulation;
c) offering Clients services within the framework of direct marketing of Haxel Events & Incentive Sp. z o.o., constituting the legitimate interest of the Administrator – Article 6(1)(f) of the Regulation;
d) sending commercial information using electronic communication means as part of direct marketing of Haxel Events & Incentive Sp. z o.o. services based on prior consent – Article 6(1)(a) of the Regulation.

3. Right to object. A person whose data is processed for the purposes specified in points 2b) and 2c) above has the right to object at any time to the processing of their personal data, which will result in the suspension of processing for those purposes.

4. Other rights. The person whose data is processed has the right to request access to their personal data, the right to rectify, delete, or restrict processing, the right to data portability, and the right to lodge a complaint with a supervisory authority. A person whose data is processed for the purpose specified in point 2d) above has the right to withdraw consent to data processing for this purpose at any time.

5. Data retention period. Data will be stored for the period necessary to perform the contract, as well as for periods specified by laws concerning the establishment, pursuit, documentation, or defense of civil claims or public law obligations, as defined by tax and accounting laws. For data processed for the purpose of direct marketing of services, data will be processed until the Client raises an objection or withdraws consent accordingly.

6. Data recipients. Personal data will be transferred to recipients who are trusted partners of the Administrator acting on the Administrator’s behalf to perform services for Clients, such as marketing or communication system administrators, server administrators where data is stored, subcontractors of travel services, as well as to other recipients if such transfer results from legal provisions. Personal data is processed within IT systems used by the Administrator. Processed personal data includes, among others: names and surnames, contact persons’ positions, phone numbers, email addresses, business contact details, and data necessary for organizing trips. For contract performance, payment data is also processed, including credit card numbers and bank account numbers.

7. Providing personal data by the Client is voluntary, enabling the Administrator to take actions before entering into a contract and for contract performance, as well as to prepare offers for other Administrator’s services.

Liability

Haxel Events & Incentive Spółką z o.o. is not responsible for any incidents that occur while browsing the Website due to actions by third parties, nor for any malfunction of the Website caused by reasons beyond its control, including those related to third parties or force majeure.

Copyright and Protection

The exclusive rights to the content and multimedia elements available on the Website, in particular texts, drawings, graphics, logos, icons, images, audio or video files, photographs, software, database rights, as well as the Haxel trademark and its graphic elements, are legally protected and belong to the Website owner or entities with whom the owner has concluded appropriate agreements. Visitors to the Website are obliged to respect the intellectual property rights belonging to the Website owner or third parties.
