Planning a corporate event – which factors should be considered?

To organize a successful event for employees or clients, a good idea is not enough. A plan is also needed that anticipates every possible scenario, not just the most optimistic one. You could say that when preparing a corporate event, it's better to have a bit of a pessimist in you. This attitude will help you prepare for unexpected situations.

Who and why participates in the trip?

Before you start planning a trip or even an event taking place in the city where your company is based, write down your ideas. You can note everything that comes to mind. However, it’s worth starting by defining the purpose of the corporate event. Are you planning to motivate the team of agents, reward the best employees for their work so far, or strengthen relationships with key clients? Depending on who the event is organized for and what its long-term goal is, its nature will differ.

If you already have specific ideas for events for cooperating companies or your employees, you can use our brief template. It will serve as inspiration and help you gather the most important matters in one place.

What fits into the planned event budget?

We have already worked with clients who allocated very different budgets for corporate events. Some could afford trips to Asia or Africa, while others gladly took advantage of combining employee training with survival parties in Polish forests. Both these distant and closer trips can achieve the desired effect, provided they are well organized.

Regardless of whether you use the help of an external organizer or plan the trip yourself from A to Z, you should determine your financial possibilities at the very beginning. This will help narrow down the search area for the perfect corporate event.

There are, of course, many more things to settle before starting any event. We encourage you to check out our know-how section, where you’ll find more helpful articles!
